CUMBRES TRAVEL · PERU DMC · B2B COMMERCIAL TERMS

Booking policies and conditions

Reservations, payments, cancellations and changes for travel agencies, tour operators and international trade partners.

Version: October 2026

Scope of application

These terms apply to the B2B commercial relationship with Cumbres Travel Peru DMC. The specific conditions of each quotation, confirmation and supplier will be communicated before a booking is accepted.

For Cumbres Estudiantes trips, please refer to the specific quotation and confirmation conditions for your school or group.

Cumbres Travel establishes the following policies for arranging and managing travel service bookings in Peru. These terms provide commercial clarity, protect commitments made to suppliers and maintain a transparent relationship with partner agencies.

The specific conditions of each quotation, confirmation and supplier must be communicated before the booking is accepted.

1. FIT BOOKING POLICY

Individuals, couples, families and private journeys

1.1. Scope

This policy applies to individual bookings and private journeys with personalised itineraries, including accommodation, transfers, excursions, guided visits, admission tickets, trains and other ground services booked with Cumbres Travel.

1.2. Rates and quotations

Agency rates will be quoted in US dollars (USD) unless otherwise stated in the quotation.

Quotations are subject to availability and have a specific validity period stated in each proposal.

Prices may vary according to travel dates, hotel category and availability, party size, room type and supplier conditions.

A quotation does not constitute a confirmed booking or guarantee service availability.

Included and excluded services must be expressly detailed in the itinerary or commercial proposal.

1.3. Payment terms

Deposit: 30% of the total programme amount to begin confirming services.

Balance: The remaining 70% is payable no later than 30 calendar days before arrival.

Bookings requested fewer than 30 days before arrival: 100% payment is required for confirmation, subject to availability and supplier conditions.

Services requiring ticket issuance, advance purchase or immediate payment may require additional amounts before the general payment deadline.

The booking is subject to written confirmation by Cumbres Travel.

Bank charges and transfer costs are payable by the purchasing agency so that Cumbres Travel receives the agreed net amount.

If payment is not made by the established deadline, Cumbres Travel may suspend processing, release unsecured services or cancel pending bookings, after notifying the agency and in accordance with applicable conditions.

1.4. FIT cancellation policy

Cancellation requests must be submitted in writing. The following scale applies to the total programme value:

Notice before arrival General cancellation charge
60 days or more 10 %
Between 59 and 30 days 30 %
Between 29 and 15 days 50 %
Between 14 and 7 days 75 %
Fewer than 7 days 100 %
No-show 100 %

General cancellation charges do not replace suppliers’ specific conditions. Non-refundable amounts actually committed may apply when they exceed the general charge, without charging twice for the same item and in accordance with conditions previously communicated and accepted.

The date Cumbres Travel receives the written request determines the cancellation notice period.

1.5. Non-refundable services

The following services may be subject to non-refundability, change restrictions or partial refunds:

Issued airline tickets.

Train tickets to or from Machu Picchu.

Admission tickets to Machu Picchu, Huayna Picchu and other capacity-limited sites.

Permits, tickets and activities requiring issuance or advance purchase.

Hotels, transport, excursions and other services booked at non-refundable rates.

Any service whose supplier policy expressly restricts refunds.

Specific conditions depend on the supplier, the fare or rate booked and applicable law. Cumbres Travel will communicate relevant restrictions before confirming the booking.

1.6. Booking changes

Requests to change dates, names, hotels, excursions, schedules or itineraries must be submitted in writing and are subject to availability.

Any fare or rate difference, penalty or additional cost will be communicated to the purchasing agency before proceeding, whenever circumstances permit.

Changes to airline tickets, trains, admission tickets and other issued services are governed by the relevant supplier’s conditions.

1.7. Hotel and service substitutions

Bookings are subject to availability. If a confirmed service cannot be maintained because of unavailable space, a late request or operational circumstances, Cumbres Travel will seek an alternative of equivalent or higher category and characteristics.

If a substitution entails an additional cost or a material change to the booked service, the agency will be informed for approval beforehand, except in urgent situations involving safety or continuity of the journey.

1.8. Trade credit

Cumbres Travel may grant credit to repeat agencies that have been evaluated and approved in advance. The credit limit, payment deadline and other conditions must be established in writing.

Credit is not granted automatically and may be suspended for payment defaults in accordance with the agreed terms.

2. GROUP BOOKING POLICY

Groups of 7 or more travellers

2.1. Scope

A group booking includes 7 or more travellers under the same request, programme or service coordination.

This policy applies to circuits, organised journeys, delegations, private groups, incentives, corporate travel and other operations requiring joint coordination of accommodation, transport, excursions, guides, tickets or special allocations.

Group conditions may vary according to group size, season, destination, booking lead time and commitments made to suppliers.

2.2. Quotations and confirmations

Group rates are quoted in USD unless otherwise stated.

The proposal states the party size used, included services, exclusions, rate validity and payment terms.

Prices may be recalculated if party size, room allocation, itinerary or dates change.

A booking is only confirmed when Cumbres Travel communicates this in writing and the relevant payment conditions have been met.

Hotel, train, flight, admission, restaurant and other service allocations are not guaranteed until effectively confirmed.

2.3. Group payment terms

General payment terms:

Initial deposit: 30% of the total group amount to begin confirmation.

Balance: The remaining 70% is payable no later than 30 calendar days before arrival.

Group bookings confirmed fewer than 30 days before arrival: 100% payment is required for confirmation, subject to availability and supplier conditions.

Suppliers requiring larger deposits, staged payments or early settlement may require specific terms, which will be communicated to the agency before the booking is accepted.

Bank charges and fees are payable by the purchasing agency.

For large groups, high seasons, holidays or capacity-limited services, Cumbres Travel may establish a specific payment schedule in the quotation.

2.4. Passenger list and room allocation

The purchasing agency must provide the following by the deadline stated by Cumbres Travel:

A passenger list with full names matching travel documents.

Room allocation and occupancy types.

Arrival and departure dates.

Flight details and schedules where applicable.

Dietary, mobility or assistance requirements that must be communicated to suppliers.

Subsequent changes are subject to availability and possible charges from hotels, airlines, trains and other suppliers.

The agency is responsible for checking the accuracy of the information supplied.

2.5. Group cancellation policy

Because allocations and coordinated services are committed, the following general scale applies:

Notice before arrival General cancellation charge
60 days or more According to commitments made and non-recoverable costs; specific conditions in the quotation
Between 59 and 30 days 30% of the total group value
Between 29 and 15 days 50% of the total group value
Fewer than 15 days 100% of the total group value
No-show 100% of the total value of booked services

The scale must be specified and accepted in the group quotation before the booking is confirmed. Supplier penalties, non-recoverable deposits, blocked allocations and issued services may have their own conditions.

When non-recoverable costs exceed the general charge, they may apply in accordance with the specific conditions communicated and accepted, without charging twice for the same item.

2.6. Reduction in party size

A partial group reduction is not automatically treated as a total cancellation, but may change the price per person and generate additional costs.

Booked services may have minimum passenger numbers or fixed costs.

Reductions in rooms, transport, guides, tickets or other services are subject to each supplier’s conditions.

If a reduction affects the agreed rate, Cumbres Travel may recalculate the programme amount.

Charges for cancelled passengers are determined according to the notice period, committed services and conditions accepted in the quotation.

2.7. Name and itinerary changes

Changes to names, dates, hotels, routes or excursions must be requested in writing.

Cumbres Travel will check availability and communicate the relevant costs or restrictions. Changes to airline tickets, trains, admission tickets and other issued services are governed by their respective suppliers’ rules.

2.8. Service substitutions

If a hotel, transport, guide, excursion or visit cannot be provided because of unavailability or operational circumstances, Cumbres Travel will seek an alternative of equivalent or higher category and characteristics.

Changes involving additional costs or materially altering the programme will be communicated to the purchasing agency for prior approval, except where an urgent situation requires action to protect traveller safety or ensure continuity of the journey.

2.9. Trade credit for groups

Credit is only available to repeat agencies evaluated and approved by Cumbres Travel. Deadlines and limits will be defined in writing.

Group bookings involving substantial financial commitments, blocked allocations or advance supplier payments may be excluded from credit, even when the agency has a trade credit facility.

3. FLIGHT BOOKING POLICY

Air ticketing requests without a ground programme

3.1. Scope

This policy applies to agencies requesting only quotations, reservations or issuance of domestic or international airline tickets through Cumbres Travel, without booking ground services.

3.2. Quotations and fare validity

Airfares and availability may change until the ticket has been issued.

Where applicable, each quotation will state the airline, route, dates, schedules, fare class, included baggage, restrictions, taxes and final price.

A quoted price does not guarantee a fare until payment and ticketing requirements have been met.

Ticketing deadlines are those established by the airline, reservation system or relevant supplier.

If the fare changes before ticketing, Cumbres Travel will communicate the new price to the purchasing agency for acceptance.

3.3. Payment and ticketing terms

100% of the quoted amount must be paid before the airline ticket is issued.

The quotation includes Cumbres Travel’s handling fee within the final price presented to the agency. On request, the amount may be broken down into airfare, taxes and handling fee to facilitate commercial reconciliation.

A reservation or temporary seat hold does not constitute ticket issuance or guarantee that the fare will remain available after the deadline.

Bank charges and transfer costs are payable by the purchasing agency so that Cumbres Travel receives the agreed net amount.

3.4. Passenger names and details

The purchasing agency is responsible for providing and checking full names and other information required for ticketing.

Details must match the applicable travel document. Errors must be reported to Cumbres Travel immediately.

Name corrections, passenger substitutions or data changes depend on airline rules and may be prohibited or incur additional charges. Cumbres Travel does not guarantee that an airline will authorise a correction.

3.5. Changes, cancellations and refunds

Once a ticket has been issued, any change, cancellation or refund request is subject to:

The conditions of the fare purchased.

Airline penalties and restrictions.

Applicable fare differences.

The supplier’s refund procedures and deadlines.

Cumbres Travel’s handling-fee conditions, communicated in advance.

Promotional or restricted-fare tickets may not allow refunds, changes or transfer to another passenger.

Where Cumbres Travel’s handling fee relates to a service already provided, it is not automatically refundable. Its treatment must be communicated in the quotation and comply with applicable law.

3.6. Airline cancellations or schedule changes

When an airline cancels, reschedules or changes a flight, Cumbres Travel will communicate the available information to the agency and provide assistance within the scope of the service booked.

Alternatives, rebooking, refunds and compensation depend on airline rules, the fare purchased and applicable law. Cumbres Travel does not guarantee an outcome that depends exclusively on the carrier’s decision.

3.7. Baggage and additional services

The purchasing agency must check the conditions for carry-on baggage, checked baggage, seat selection, meals, special services and other benefits included in the fare.

These benefits vary by airline, route, fare class and ticket type. Additional services requested after ticketing may incur costs.

3.8. Documentation and travel requirements

The purchasing agency must verify that travellers hold valid travel documents and meet the immigration, health and transit requirements applicable to their itinerary.

Cumbres Travel may provide commercial guidance, but travellers and the agency must check the official requirements for their nationalities, destinations and stopovers.

3.9. Urgent requests and out-of-hours ticketing

Requests close to ticketing deadlines are subject to availability and suppliers’ service and ticketing hours.

Cumbres Travel does not guarantee that a fare will be retained if payment or ticketing authorisation is not received by the established deadline.

3.10. Air ticketing credit

Airline tickets must be paid in advance unless a specific credit agreement has been approved in writing by Cumbres Travel.

Approval of credit for ground programmes or FIT bookings does not automatically authorise credit for airline tickets.

4. GENERAL TERMS APPLICABLE TO ALL THREE POLICIES

4.1. Currency and bank charges

Unless expressly stated otherwise in the quotation, prices are in USD. The purchasing agency pays transfer fees and bank charges so that Cumbres Travel receives the agreed net amount.

4.2. Written confirmation

Requests, changes and cancellations must be submitted in writing through the commercial channels designated by Cumbres Travel. A request is not confirmed until Cumbres Travel issues the relevant confirmation.

4.3. Availability and supplier conditions

Services are subject to availability and the conditions of hotels, airlines, railway companies, transport operators, archaeological sites, guides and other suppliers.

Where applicable, Cumbres Travel will communicate each service’s specific conditions before confirmation.

4.4. Force majeure and extraordinary circumstances

In the event of natural phenomena, strikes, government restrictions, route closures, emergencies, conflicts, transport interruptions or other circumstances beyond Cumbres Travel’s reasonable control, available alternatives will be assessed with the purchasing agency.

Costs, changes, refunds and alternative services depend on supplier conditions, the contract and applicable law. Cumbres Travel will communicate available information and seek to minimise the impact on the journey.

4.5. Purchasing agency responsibilities

The purchasing agency must:

Provide accurate and complete traveller information.

Inform its clients of applicable payment, cancellation, baggage and documentation conditions.

Meet the agreed payment deadlines.

Communicate changes or special requests promptly.

Inform Cumbres Travel of assistance needs relevant to the safe provision of services.

4.6. Precedence of specific conditions

The specific conditions of a quotation, confirmation or supplier may supplement these policies when communicated to and accepted by the purchasing agency.

In the event of a discrepancy, the applicable documents and accepted conditions will be reviewed in accordance with current law.
